Set and technology are two budgets
When you compare quotes for an escape room you are often comparing apples with pears. One party builds the set and buys the technology in. Another builds the technology and leaves the set to a set builder. Both are fine, but the figures are incomparable until you know what is inside them.
So split it in your head into two items: everything you see, and everything that makes it work. This piece is about the second.
What the technology costs
An escape room usually starts around 8,000 euro in equipment and work. That is a room with roughly ten driven puzzles, electric locks, light and sound, a game master screen and a one-press reset.
If there is machinery involved (a wall that opens, a floor that moves, a lift), that shifts upward: machinery brings drive, feedback and a safety assessment with it. For a room with serious moving scenery you are quickly looking at a multiple.
If you build several rooms at once, the per-room cost drops. Network, cabinet and the shared logic only have to be worked out once.
What drives the price?
The number of puzzles that need driving separately. A safe with a combination lock costs nothing in technology. A safe that opens by itself when four objects are in the right place costs four sensors, an output, cabling and logic.
How much of the reset is automated. Putting everything back automatically costs more than leaving part of it manual. That is a deliberate choice: sometimes one prop the game master resets by hand is cheaper than the mechanism that would do it automatically.
The state of the building. A bare space we can pull cable through freely is faster than a listed building where nothing may be visible.
And the ambition of the light and sound. A room with mood lighting on six groups is a different thing from a room where every moment has its own lighting state.
Props and electronics
A driven prop often costs less in parts than people expect: a lock, a sensor, some cabling. What it costs is the engineering around it and the fact that it has to survive players.
We build anything that gets touched and pulled heavier than necessary, with industrial components and connectors you can replace one-handed. That is more expensive to buy and cheaper from the first month, because technology that breaks is an evening without revenue.
For unusual props we build a working mock-up before the quote goes out. Build first, promise second. That saves three surprises during the build.
Maintenance and total cost of ownership
The purchase price is not the most interesting number. More interesting is what the room costs you per year in faults, turnaround time and missed sessions.
A reset that saves ten minutes at four groups a day yields an extra sellable session. A fault on a Saturday evening costs an evening of revenue plus a review. The premium for industrial components and a labelled cabinet pays for itself easily out of that.
Beyond that, expect replacement of wear parts (locks, magnets, the occasional sensor) and an expansion as soon as another room is added. We allow for that in the design with spare outputs and room in the cue list.
Do not economise on the control system
It is tempting to save on technology because the visitor is paying for the set. But the visitor judges the room on whether it worked: did the drawer open, did the sound match, was there a hint when the group got stuck.
The two places where saving money always comes back as trouble are the cabinet and the documentation. An unlabelled cabinet is cheap on handover day and expensive every day after. Schematics that match what is installed are the difference between an hour of downtime and a week of it.
Can I build the technology myself?
For a first room with a handful of props: yes, and it is a good education. Plenty of good escape rooms started exactly that way.
The limit usually arrives at the third room. That is when the first room's solution turns out not to scale, nobody remembers which wire goes where, and whoever built it works somewhere else now. That is the moment it becomes cheaper to have it done properly once.
