What escape room technology has to do
Technically, an escape room is a state machine with set dressing around it. There are states (empty, running, solved, reset), there are transitions between them, and there is a series of puzzles that each form a trigger for the next step.
What the system has to do is limited and unforgiving: recognise a player's action, do something visible with it, show the game master where the group is, and afterwards put everything back to the starting state. Sixty or eighty times a week.
Anything that does not serve that does not belong. An escape room controller with a dashboard full of graphs but no reliable reset is solving the wrong problem.
Puzzle logic: from action to event
Every puzzle is essentially the same: there is a condition, and when it is met something happens. A reed contact that closes when the right book goes back on the shelf. An RFID reader that only accepts the correct card. Four potentiometers within tolerance of the right position.
The interesting part is what happens next. A good puzzle gives several signals at once: a click you hear, a lamp that comes on, a drawer that springs open. That way the player knows they were right, even if they were looking the other way.
And there is always a back door. Every puzzle has to be skippable by the game master, because groups get stuck and the next group is at the door at seven.
The reset: the part you are actually selling
There is usually a quarter of an hour between two groups. Everything has to fit in it: people out, room back, people in. If the reset is a lap around the room with a checklist, you lose ten of those fifteen minutes and something structurally goes wrong.
We build the reset as one press. Locks release, magnets let go, drawers close, lights return to the starting state, the clock goes to zero. Anything that cannot mechanically return by itself (a puzzle that has to be physically laid out) appears as a short list on the game master screen so nothing gets forgotten.
The effect is directly calculable: ten minutes of turnaround instead of a lap around the room means, at four groups a day, an extra session you can sell.

The game master screen
The game master sees at a glance where the group is: which puzzles are solved, how much time is left, and where it is stalling. Hints go to the screen in the room, and there is a button to skip a step.
The screen has to be explainable to a stand-in on a Friday evening in two minutes. That means large buttons, language that matches what happens in the room, and no menu containing universes and presets.
What also belongs on it: a clear button that resets the room, and a status showing whether the technology is healthy. Not as an error message, but as a green tick you can see from the desk.

Props that survive players
Anything a player can touch gets touched harder than you expect. A drawer yanked open by someone who thinks it is stuck. A book pulled off the shelf. A lever forced the wrong way.
So anything that gets touched and pulled, we build heavier than necessary: industrial components instead of hobby parts, strain relief on every cable, and connectors you can replace one-handed when it does go wrong.
Technology that breaks is not annoying but expensive: it is an evening without revenue, plus an unhappy group writing something online.
What usually goes wrong
The PC under the counter. Somewhere there is a computer running a script written by someone who no longer works there, and nobody dares restart it. That works until the day it does not come back.
Unlabelled cabling. At the first fault it turns out nobody knows which core goes where, and an hour-long problem becomes a week-long one.
No home state. If the system does not know what the room is supposed to look like, it cannot get there independently either. Then every power cut is a manual job.
And the classic: one room works fine, and at the third it turns out the first room's solution does not scale.
What it costs
An escape room usually starts around 8,000 euro in equipment and work. What comes on top depends on how many props need driving separately, whether there is machinery involved, and how much of what is already there we can reuse.
Expect six to twelve weeks between go-ahead and handover: two weeks of design, three to six weeks of building and bench testing, and one to two weeks on site.
